What are Open Dated bookings?

Within Hero, you can choose to sell your products 'Dated' and / or 'Open Dated.

  • Dated Bookings are sold for a specific date / time, as per your rates / schedules / availability in Hero.

  • Open Dated bookings are sold without a date / time, allowing customers flexibility to participate in your activity sometime within the next 12-months.

Notification of Open Dated bookings

You are notified via email when your product is sold open dated. Please keep a record of these for easy access later on.

If you are 'integrated' with Hero, please note that Open Dated Bookings are not dropped into your manifest.

Setting dates for Open Dated bookings

Customers will contact you directly to request a date / time for their booking. At this point, obtain the 12-digit Hero Ticket Number from the customer.

​Note: Within your Company Policies you can set the number of days of notice that you typically require from customers to accommodate open-dated bookings.

Claiming Open Dated bookings

Dated bookings will be automatically claimed within Hero 24-hours after the customer has travelled and payment will be initiated in the following payment run.

Open-dated bookings need to be manually claimed by you once the customer has travelled.

To claim an open-dated booking, navigate to your branch using the drop-down menu (top-right).

On the left-hand side of the screen, click Claims and then click New Claim.

Enter the 12-digit Ticket Number provided to you by the customer, i.e. HERO-XXXX-XXXX.

If you do not have a Voucher Code for a completed open-dated booking, please contact your booking agent.

Chasing a voucher number for an open-dated booking?

If you have accepted an open-dated booking and supplied the product or service without obtaining the ticket number, please contact the booking agent to obtain the 12-digit Hero ticket number.

The agent's contact details are shown in the booking confirmation email sent to you from Hero when the open-dated ticket was issued.
