Get ready for the end-of-season rate change

Within Hero, Seasons are set for each Branch and rates are set for each Season.

Seasons are managed differently depending upon a few factors. Which of these is most relevant to you?

Products with Live Availability

Products with live availability are sold dated using rates pulled directly from your reservations system.

If sold open-dated however, the agent chooses a Season in which they expect the ticket will be redeemed. A price is applied to the product based upon the first event within that Season.

Also, if your rates change, you might want to show agents this on their pricing page:

So, if your rates do change with Seasonality:

  • Clone your existing Season in Hero and edit the dates accordingly. (Note, any future adjustments to your pricing with then need to be set for all Seasons, so there's a bit more work required to manage multiple Seasons).

  • Or, simply amend your Policies with a note saying 'If purchasing open-dated, you may be subject to additional fees at check-in during peak periods.
    This means you simply need 1 season and managing your rates setup in future is less work for you.

Note:
- If you have availability loaded in your reservation system, but the season in Hero does not cover those dates - then the agent won't be able to book it in Hero.
- If you prefer not constantly having your seasons, you can also have 1 season ending far in the future. The repercussions are that only 1 rate can be booked for open-dated vouchers, and agents won't see rate change on their pricing page (like in above image).

Products without Live Availability

If Hero is not connected to your reservation system via API, rates are set manually for each product for each Season. These rates are used for dated and open-dated bookings.

As a result, Seasons are required to segment periods in which rates remain constant, such as high season & low season / summer & winter etc.

So, if this applies to you, clone your existing Season and edit the dates and rates as needed.


Clone or create a New Season - which is best?

We recommend that you do not create new Seasons but instead clone existing ones and change the dates as needed.

Why? Agent Group overrides (for commission bonuses etc) may already be set for your pricing for existing Seasons. By cloning the season, these rules are retained. If creating a new Season, they are not.
